Present: Ron (facilitating), Lindsey, Jeremy, Randy, Kathy (scribe).
Process: No formal decision-making process or quorum requirement. Action: Tabled.
Payment: Open bank account under LAEV’s nonprofit status, allow PayPal?, credit cards.
Action: Tabled.
Cash Handling: Present system complex. Action: Encourage month-in-advance payments by
Monday night. Call in changes by Wednesday night.
Quality: The larger the order, the better the variety. Action: Please invite potential members.
Ordering: “One screw-up per week.” Boxes not picked up, boxes not ordered. Action: Kathy draft simple logbook for Randy instead of XL; consult Yuki.
Work: No-shows. Action: Coordinators e-mail reminders; report to Ron who worked.
Orientation: Members not on listserv or aware of wiki. Action: Ron ask Ann.
Database: Missing phone numbers, e-mails. Action: Kathy make application form to add to brochure.
Delivery: Getting funds to coordinators burdensome. Action: Ron update wiki, ensuring coordinators call Randy Wednesday. Ron review cell assignments: money handlers to be LAEV residents.
Communication: Coordinators require updated contact data monthly. Action: Dave e-mail data, or update secure Google documents: one for each cell, accessible by coordinator; one with coordinator data, accessible by all.
Order Envelopes: Stamps go out of date. Action: Kathy will try to create a small form, to permit recycling envelopes.
Late Payment: Randy has been covering for procrastinators to keep order total up. Action: Ron remind listserv weekly of Monday deadline.
Advance Payment: Need secure way to view account balances. Action: Jeremy look at using google documents or secure wiki page & report back.
Markup: Need to cover overhead; see: http://urbansoil.net/wiki.cgi/Read_the_mark-
up_proposal. Action: Randy start skimming $10 when any order totals $200-299, $20 when $300-399, & so forth; make “Slush Fund” income & expense data available. Ron note: issue to be revisited after six months.
