May 29 Revision

Drafted May 29, 2007 - Lara’s consolidation of community decisions and Lois’s guidelines.
Note: it needs to be revised after membership committee meeting.
it has some ADD items.

Generally, the liaison effort starts after someone has done three things:
1. Come on a tour
2. Submitted their questionnaire
3. Come to a community meeting and announced their interest in becoming a member.

Liaison Responsibilities

The liaison is a primary point of contact between an applicant and the community. The liaison is available to answer the applicant’s questions directly, by finding out answers from others and by instructing the applicant on how to find information on the website and in the member handbook. The liaison keeps informed about the interest and intention of the applicant on behalf of the community. The liaison is expected to help arrange for and accompany the applicant to meetings dealing with the applicant’s membership. The liaison introduces applicant to other residents & encourages him/her to attend meals, meetings, work parties etc.,
ADD: Responsible for adding events to the agenda (greenlight, community dialogue and decision)

Interested Phase

The Liaison reads the applicants questionnaire and makes sure the questionnaire is made available to the community to read, if it hasn’t already happened.
· If the applicant has not yet been added to the friends of laev listserve, the liaison forwards event information and makes sure the applicant is added to the friends listserve when the applicant has a valid e-mail.
· Makes sure the applicant has the latest version of the membership process document
· Makes sure an applicant understands the size range and condition of apartments available to individuals, couples and families.
· During the process make sure the applicant fills out credit and rental applications.

Candidate Phase

· Call or email your candidate frequently (about once every one to two weeks).
· Try to be at as many activities as your candidate attends to ensure that they get to know everyone. Introduce the candidate around. Find out what the candidate has in common with other members and make sure the candidate meets others and gets to know about their mutual interests.
· Try to arrange one or more community events especially for your candidate, e.g., a brunch or dinner or dialogue group. Coordinate with the Bienvenidos Committee to do something jointly with other applicants.
· Makes sure the candidate knows that a specific request for an apartment is not addressed until after a candidate has been accepted for residency.
· If, after the candidate has been interviewed by the community the community decides to wait on an acceptance decision because of issues or concerns, the liaison should make sure the candidate gets sufficient feedback to understand what the issues are and how to address them.
· Lets the candidate know that after they’re accepted that they can still come to the liaison with questions and concerns.

ADD: The liaison let the applicant know about approved policies.

Liaison Process

The Bienvenidos Committee maintains the Liaison rotation list.
The Bienvenidos Committee periodically does outreach to add Liaisons to the list.
When an applicant has expressed sufficient interest in membership, the Bienvenidos Committee contacts liaisons in list order until a liaison is assigned.
The assigned liaison contacts the applicant as soon as possible, explains the Liaison’s role and the membership process.
The Liaison guides the applicant through every step of the membership process.
