FOOD LOBBY MEETING MINUTES - 11/15/09
In attendance - Jeremy, Jocelyn, Jessica H, Lara, a couple others (I forgot to write down names)
I. RECAP OF OCTOBER MEETING
A. Conflict Resolution: -4 points proposed to LAEV, all were accepted and LAEV responded in an email with proposed steps of action -Food Lobby needs to formulate a collective response to LAEV’s proposed steps of action -Lara expressed concern about the way the incident was presented to listserve and is considering composing a statement as a 3rd party observer to clear up perceptions regarding the conflict to send to the list
B. General Food Lobby/Bulk Room (FL/BR) Safety: -We want to have a safe environment in which to operate -Gate access to LAEV a concern for FL/BR and LAEV residents -LAEV “greeter” during FL/BR shifts could be the answer, someone to accompany FL pick-ups, not just let them in the building? -Dave A is installing a phone in BR for gate access during BR shifts -Security of bike room also an issue for LAEV residents
II. WORKSHIFTS
A. Sunday FL Workshift Absences: -Generally a MAJOR problem -BR shifts also suffering -Lindsey was calling in reminders to cell members and keeping track of cell attendance before his departure -Jonny is now making those calls from NYC, presumably as a BACK-UP to the calls that cell coordinators should also be making -Currently no process for coordinators to account attendance -Group discussed using the FL database to track attendance - would require more database programing and instructing coordinators on how to use it, probably an easier way (see below) -Jeremy suggested the primary problem is communication - not every member has made it onto the listserve and therefore doesn’t even know they are on a workshift -Lara volunteered to send all new members an email with a link to joining the listserve -Jeremy contacted all cell coordinators with the available contact information of their cell members -Jeremy contacted all cell coordinators and requested they collect missing contact info for their cell members that aren’t on the database so we can create a more complete database -Group consensus - cell coordinators should have login info for the database and know how to use it - contact Jeremy for that info -Jeremy has volunteered to cull contact info from cell coordinators and input to the database to streamline the data collection process -Group consensus - cell coordinators should respond to the weekly Order email with attendance of their cell as a way to keep track of attendance and do so as a public record -Group discussed finding someone to check attendance record on Tuesday and call absentees after the fact to create more opportunities for FL/cell member contact, discussion, clarity of what FL membership means ie. working a shift -Group consensus - cell coordinators needs to keep track and identify problems in their cell and inform new members about orientation sessions -Once cell problems are identified, someone will need to asses the data and devise a plan to fix it, ie. trying harder to get new members to orientation, getting everyone on the listserve, weeding out names of former FL members who still are members of a cell -Lara volunteered to balance the names of those placing orders with the names of cell members to instigate workshift reorganization to form more functional cells -Ann will reorganize workshifts (?I don’t recall who suggested this?) -Jonny volunteered to link FL database to BR database, however currently the BR database isn’t working
B. Workshift Partial Attendance: -Group consensus - cell coordinators need to instigate communication with chronic latecomers -Jeremy suggested discussing a policy for what constitutes attendance to a shift, ie. latecomers
C. Sunday FL Workshift Subs: -Jessica H suggested subs need to be requested with adequate lead time to ensure finding someone to cover your shift ie. not the week before (emergencies being an exception - Jeremy) -Make-up shifts? Is there a way to make this happen?
